REQUIRED SIGNATURES for RESERVATIONS
Like two-factor authentication, here are two items to read and sign before your reservation is confirmed:
- “T&C” – eight primary terms and conditions of your reservation and time in Camp, including cancellations, pets, refunds, damage penalties, check-in/out times, etc.
- “The Waiver”, which confirms your assumption of risk: read carefully, you are signing away significant rights.
For the purposes of this agreement,
- “Guest/s” refers to the person booking and paying for the reservation, along with all persons included in the reservation (see final clause above signature.)
- “Camp” and “Conservancy” are used interchangeably to refer to the Sturtevant Conservancy, the non-profit owner/operator of Sturtevant Camp.
Terms & Conditions: INTRODUCTION
- Guests are visitors in Camp and the surrounding the wilderness with other guests and the public. The remote location and lack of easy access or exit requires mutual respect for others and the wilderness.
- These Terms & Conditions are established to ensure everyone’s safety and the best possible experience for all.
- Guests failing to abide by these Terms & Conditions will be refused lodging and services, and forfeit any claim to any refund. Plus, we’ll short-sheet your bed.
First Factor – THE FINE PRINT
1. The Camp is open to the public without regard to age, gender, race, color, sexual orientation, national origin, creed, or ethnicity; all guests in Camp shall offer mutual respect to other members of the public (other guests and day-hikers) based on this openness, or be refused lodging and services.
2. Camp Hosts are volunteers giving their personal time to manage the Camp and welcome guests; in return, guests shall respect the supervision of the resident Host about use of the Camp and behavior while in Camp. Hosts have final authority on all activities, behaviors, and matters in Camp. Failure to comply with a Host’s directives may result in expulsion from the Camp without refund; in serious cases, guests may be suspended from re-booking/returning for a period of time, or permanently blocked, subject to the discretion of the Conservancy.
3. Reservations are paid in full and up front for the lodging, group size and dates chosen at the time of payment; the Camp reserves the right to assess additional charges and/or penalties incurred during your stay.
4. Cancellations and refunds:
Cancellation by the Conservancy: the Camp is open for guest service regardless of normal seasonal weather conditions (rain, heat, etc.) However, the Camp may be closed at any time by the Conservancy for any reason, including but not limited to the closure of the National Forest by the U.S. Forest Service, and/or unsafe or impassable conditions on access roads to applicable trailheads and/or access trails to the Camp. If/when the Camp is closed by the Conservancy, scheduled guests will be notified as soon as possible;* Guests can then choose to transfer their deposit to another reservation date, or to donate some or all of the deposit to the Conservancy for a charitable deduction, or receive a full refund. *Road and trail conditions can change instantly; work-arounds are typically walk-arounds.
Guest cancellations: reservations can be cancelled here on-line; any refund depends on the full deposit received.
- Full refund for cancellations 30 days ahead of the reserved arrival date.
- 75% refund for cancellations 15 days ahead of the reserved arrival date.
- 25% refund for cancellations 8 days ahead of the reserved arrival date.
- No refund for cancellations 7 days or less ahead of the reserved arrival date.
5. On-site check-in / check-out times and procedures:
(Check-in on-line at least 24 hours prior to starting your hike; there is no reliable cell service at Chantry Flat or Mt. Wilson.)
- The Camp will be open for arriving guests starting at 3pm each day Friday and Saturday, or by prior agreement with the scheduled Host. (For holiday Mondays, check-in 3pm Sunday.)
- Check-out times on site: on their check-out day, guests shall clear their cabins as described below by 10am, and by noon for the main kitchen and Lodge. Guests are welcome to use the public outdoor spaces past noon as they wish.
- Prior to check-out, guests shall:
- Re-set their cabin according to the posted checklist, including return of any linens, emptying the trash, and sweeping out the cabin.
- Kitchens/kitchenettes shall be swept, stoves and countertops wiped clean, dishes done, trash collected, and refrigerators and pantries emptied in consultation with the Host.
- Cabins and/or kitchens and common areas left especially dirty and/or in disarray, and/or excessive food/trash will incur a cleaning charge at the Host’s discretion.
6. Guests who damage any Camp property, including buildings, fixtures, sports equipment, bedding / linens, kitchenware, appliances, furniture, and other objects (including discharge of fire extinguishers except in the case of fire), utilities and amenities, will be charged a penalty for any needed disposal, repair, replacement, and return packing costs.
7. Conditions and Limitations while at Camp:
- Sorry, No Pets: the Conservancy loves dogs and pets, but in the best interest of all pets, other guests, and the resident wildlife, NO guests’ pets are allowed in Camp at any time (service animals exempted.) Guests arriving with pets will immediately take their pets home, or be fined $400 and sequestered in Camp until the next day for immediate return home.
- Electrical service is determined by the Host relative to seasonal daylight hours, and is typically limited to sundown until 10pm latest. Note: no hot-air hair dryers!
- Quiet hours are observed from 10pm until 8am daily.
- No smoking in any Camp building; evidence of smoking in a building will incur a penalty fee.
- No firearms or fireworks of any kind are permitted in Camp, we’ve already had enough fire.
- Speaking of which: use of the woodstove, fireplace and fire ring are only permitted when the U.S. Forest Service allows and in consultation with the Camp Host.
- The Camp / Conservancy is not responsible for any loss, damage, or theft of personal items. Secure your valuables accordingly.
8. The Conservancy reserves the right to modify these Terms & Conditions at any time without prior notice. Guests will be notified of any significant policy changes before their stay in Camp.
I agree, and shall cause my family members, invitees and guests, to abide by these Terms & Conditions, including those rules and policies published at Sturtevant Camp.com/T&C, posted at the Camp and/or otherwise communicated in any manner.
2nd Factor: “The Waiver”; this legal document is your agreement to assume the risks of being in the wilderness and in Camp, and consent to emergency medical care: read carefully, you are signing away significant rights.

To conserve your own liability as the person making a reservation, give this link to each person in your group to read and sign; parents need to sign for their minor children/persons in their guardianship.
